Privacy Policy
Effective September 23, 2026. Xenia Group LLC operates SnapMap. This page explains how this early access location service handles information about account holders, connected devices, and people whose locations are reported.
Information we collect
We store your sign-in email and a password hash; your optional display name and phone; session and device credentials; device names and types; optional assigned-person name, contact details, and photo; optional vehicle year, make, model, and VIN; and precise locations, times, accuracy, speed, route history, geofences, and entry or exit events. We also store your account and notification settings, and, when billing is enabled, Stripe customer and subscription references. Our server or hosting provider may process technical connection information such as IP addresses and request times to operate and secure the service.
Location tracking and access
Locations are submitted by a paired phone browser while its tracking page runs or by a configured GPS unit. The account holder can see connected devices and their stored locations, routes, geofence events, and device profiles. A person listed in a device profile does not automatically receive an account or access. The account holder must have permission to connect and track each person, vehicle, and device. Phone browsers can stop reporting when the page is closed or paused by the operating system.
How we use and share information
We use data to run accounts, show maps and history, detect geofence crossings, provide support and security, process billing when enabled, and send account emails. Geofence emails are off by default; security email preferences can be changed in My profile. Password reset emails are sent when requested. Hosting and mail providers process information needed to deliver the service. Stripe processes payment information during checkout; SnapMap stores customer and subscription identifiers, rather than payment card details. Map tiles requested from OpenStreetMap's servers may reveal your IP address and the map area in view to that provider. We do not use location data for advertising or sell it.
Retention and your controls
Saved locations remain until deleted unless you choose a 30, 90, or 365 day limit under Data controls. You can export recent device history, remove a device, or delete your account and its data from the live database. Accounts connected to Stripe must contact support for deletion while billing obligations are checked. Verified database backups are kept on the same server: the scheduled backup job normally removes its snapshots older than 30 days while keeping at least two; release and manually made copies may be kept separately and need their own cleanup. Deleted records can remain in copies until those copies are removed. Notification queue entries are removed after delivery or expiration, and account deletion removes its pending entries.
Security and requests
We use HTTPS at the public site, access controls, and private server storage. No online service can guarantee absolute security. For a privacy question, access request, or deletion request, email privacy@snapmap.app. If this policy changes materially, we will update the effective date and provide appropriate notice.
